Every bay its own calendar

Each simulator bay is a room in Ruumio, with its own opening hours, booking step, shortest and longest booking and booking horizon. Players choose their start and end time, see straight away which bays are free, and book on your own website or through the widget on the site you already have.

Visitors can book as guests with their name and e-mail, or make an account to see their bookings, hours and invoices. A buffer between bookings, if you want one, leaves a few minutes to reset the bay; when you book yourself you can still go back to back.

Peak and off-peak prices

Simulators fill up on weekday evenings and winter weekends and stand empty in the morning. Set each bay's normal hourly price, then other rates for chosen weekdays and hours. A longer block, such as a three-hour session for a group, can have its own price, and a booking always pays the cheaper option.

Players see the price before they book and pay by card through your own Stripe account. The time is held while they pay and confirmed when the payment arrives.

Hour packs and memberships for regulars

Sell hour packs: a number of prepaid hours with a validity period, which can be limited to some bays and are used automatically when the player books. For members who come every week, sell a monthly plan with a number of hours in each bay; bookings use those hours first, and anything beyond them is paid at the bay's price.

Members subscribe and pay by card, or you assign the plan by hand and invoice them yourself. A bay can be kept for plan members only, and discount codes can run your own promotions.

Early mornings and late evenings without staff

With the door codes add-on and UniFi Access, every booking gets its own PIN for the venue's doors, working from a set time before the booking until a set time after it. The code is in the confirmation e-mail and the reminder, and a cancelled booking loses it.

So the first round before work and the last one late in the evening need nobody at the desk. From the admin you see every upcoming code and can unlock a door remotely.

Club rental, coaching and other extras

You define the extras: club rental, a coaching session, drinks for a group. Each is priced per hour or once per booking, can be limited to how many you have, and can be offered only on some days or hours.

With staff accounts, a coaching extra is assigned automatically to the first linked coach who is free at that time; if every coach is busy, the extra can't be chosen. The coach gets an e-mail and sees their sessions on their own page and in their calendar.

Group sizes, companies and gift cards

A booking question can ask how many players are coming, capped by the bay's capacity, and anything else you need to know before they arrive. Companies that bring clients or teams can have a company account and get one invoice a month with a reference number.

Gift cards are sold on your website and e-mailed to the buyer or straight to the person they are for, and they can pay for any booking.

Calendars and the figures behind them

If a bay is also booked somewhere else, add that calendar's iCal address: its busy times can't be booked by players or guests. Every player gets a personal calendar link for their own calendar app, and each bay has its own feed for your team.

Reports show booked hours and utilisation per bay for any date range, with CSV exports for your accountant.
