For music and recording studios

Booking software for music and recording studios

Ruumio lets artists and bands book recording time on your website, add an engineer or instrument hire, and pay by card when they book. Long sessions get your day rate, evenings and weekends your peak price, and you decide which bookings you confirm yourself.

Long sessions, priced the way you price them

Recording days rarely fit an hourly tariff. Give each room an hourly price, then higher or lower rates by weekday and time, such as evenings and weekends, and block prices such as a half day or a full day. A booking always pays the cheaper option: an eight-hour session gets the day rate, a two-hour vocal take the hourly one.

The price is shown before the artist books, and the invoice lists each part separately when a session runs across several rates.

An engineer, a producer or a backline as an extra

Offer extras with the booking, per hour or once per booking: an engineer, a producer's time, a drum kit, an amp, mixing afterwards. If you have one vintage synth for the whole building, limit the extra to one booking at a time across all rooms; when it is taken, it is greyed out for that time. Extras can also be offered only on some days or within some hours.

Extras are charged even when the room time is covered by an hour pack or a monthly plan, so the engineer is always paid for.

Engineers who know where they are needed

Give your engineers staff accounts and link them to the engineer extra. A booking with that extra goes to the first engineer who is free at that time, and if all of them are busy, the extra can't be booked then. The engineer gets an e-mail, sees the sessions on their own page with the booker's contact, extras and answers, and can add them to their own calendar.

If an engineer also works elsewhere, add their outside calendar: times busy there count, and they aren't given a session they can't do. You can also assign or unassign someone by hand from the calendar.

Weekend sessions you confirm yourself

An extra can need your approval always or only on chosen weekdays, for example an engineer on Saturdays. A booking with it waits for you and keeps the time reserved; you approve or decline it, with a note if you like. A request nobody answers is declined when the session would have started.

You choose whether the artist pays first and gets a full refund if you decline, or pays after your approval through a payment link sent by e-mail.

Bands that keep coming back

Sell hour packs: studio hours paid in advance, valid in the rooms you choose for as long as you set. A band's booking uses its pack hours automatically, and they see what's left in their account. Monthly plans with hours per room work the same way for artists who record every month.

With the projects showcase, each band or artist can have its own page on your site with a picture, a description and links to their music, and the band members can book on the band's behalf.

Labels and production companies on one monthly invoice

Add a label or a production company as a company account. The people you link to it book on the company's account, their bookings are confirmed without a card payment, and at the end of the month the company gets one invoice with a due date and a reference number. You mark it paid when the transfer arrives.

Every card payment gets an invoice and every refund a credit note, with VAT, and the CSV export goes to your accountant.

Questions

Can a session price change at 18:00?

Yes. Set an hourly rate for the evening hours; a booking that starts in the afternoon and runs into the evening pays each part at its own rate, and the invoice shows both.

Can I block a day for my own production?

Yes. Add a closure for one room or all rooms, or book the time yourself. Admins can book outside opening hours and over closures.

Do artists need an account to book?

Not if you turn on guest bookings: they book with their name and e-mail and pay by card right away. Hour packs, monthly plans and booking on behalf of a band need an account.

What happens when an artist cancels late?

Your cancellation policy decides: a full refund up to a number of hours before the session, then the share you set, and the same share of their pack or plan hours.
