For podcast studios

Booking software for podcast studios

Ruumio lets podcasters book studio time on your website, pay by card when they book and get everything they need for the session by e-mail. You set the hours, the prices and the rules; the calendar fills itself.

Sessions the way podcasters book them

A recording rarely fits a fixed slot. Hosts choose their own start and end time within your opening hours, in the steps and lengths you allow. A buffer before and after each booking leaves time to reset the room and the microphones, so sessions never run back to back unless you book them that way yourself.

Weekly shows book a recurring series in one go. Ruumio skips the dates that are already taken and sends one summary e-mail with a single calendar file.

A sound engineer, editing or a video camera as an extra

Offer extras per hour or per booking: an engineer, a second camera, editing afterwards. An extra can need your approval on some weekdays or always, and it can be limited to what you actually have: if your one engineer is booked in another room, the extra is greyed out for that time.

With staff accounts the engineer is assigned to the booking automatically, gets an e-mail and sees their sessions on their own page and in their calendar.

Paid at booking, no chasing

Clients pay by card when they book, through your own Stripe account. The time is held for them while they pay and confirmed when the payment arrives. Cancellations follow your policy: a full refund up to a deadline, part of it later, or none.

Production companies that record every month can book on account: their bookings go on one monthly invoice with a reference number.

Regulars: hour packs and monthly plans

Sell a pack of studio hours at a better price, or a monthly plan with hours included. The hours are used automatically when a member books, and they see what's left in their account.

An unstaffed studio that still opens on time

With UniFi Access door codes every booking gets its own PIN, valid only during the session (plus the buffer). The code arrives with the confirmation and again in the reminder before the session, and it stops working when the session ends.

Your own website, in your guests' languages

Every studio gets a website with its rooms, equipment, prices and a booking calendar on the page, in the languages you choose. Questions you ask at booking (the show's name, the number of guests, what to prepare) are answered before the session, and the room's capacity limits the number of people.

  • Booking questions with room capacity
  • Guest bookings without an account
  • Reviews after the session
  • Calendar feeds for you and your hosts

Questions

Do my clients need an account to book?

No. You can let guests book with their name and e-mail. Regulars can make an account to see their bookings, hours and invoices.

Can I approve some bookings by hand?

Yes. A booking with an extra that needs approval waits for you; you approve or decline it, with a note, from the calendar or your phone.

What do I need for card payments?

A Stripe account, which you connect from the admin in a few minutes. The money goes to your account; Ruumio takes a small fee per card payment.

Does it work for a studio with several rooms?

Yes. Each room has its own hours, prices, buffer and rules, and rooms can be grouped by location.
