Door codes
A door code for every booking, with UniFi Access
The door codes add-on connects Ruumio to your UniFi Access system and gives every booking its own PIN code that opens the room's doors only during the booking. Clients get the code by e-mail, so they can let themselves in without anyone at the studio to hand over keys.
How it works
You connect your UniFi Access console in the admin with its address and an API token created in UniFi Access. Then you choose, for each room, which doors its bookings open: the front door and the studio door, for example.
When a booking is confirmed, Ruumio creates a visitor with a PIN code in UniFi Access. The code is valid from the start of the booking to its end, plus the minutes you allow before and after, so people can arrive a little early and pack up without being locked in or out.
- One PIN code per booking
- Valid only during the booking, plus your margins
- Doors chosen per room
- Works with your existing UniFi Access setup
The code reaches the client
The code is in the booking confirmation e-mail and again in the reminder before the booking. If the code isn't ready when the confirmation goes out, it follows in its own e-mail as soon as it is, once. Members also see the code with the booking in their account.
Cancelled bookings lose their code
When a booking is cancelled, its code is revoked in UniFi Access. Codes of past bookings expire and are cleaned up, so the console doesn't fill with old visitors.
Ruumio regularly checks that UniFi Access matches the bookings. If the console doesn't answer when a booking is made or cancelled, the change is retried automatically. In the admin you see the status of every booking's code, can retry a failed one or sync everything at once, and can give a booking a new code, after which the old one stops working.
Open a door from the admin
When someone is standing at the door and something has gone wrong, you can unlock a door remotely from the admin, after a confirmation. Every remote unlock is recorded in the studio's activity log with who did it and when.
A careful connection to your console
Ruumio talks to the console over https and always checks its certificate. If your console uses a self-signed certificate, you compare its fingerprint with the one UniFi OS shows and pin it; from then on only that certificate is trusted. The API token is stored encrypted.
Connection errors are shown in plain words in your language, for example a wrong token or a console that doesn't answer, so you know what to fix.
Built for studios without a reception
Together with card payments at booking and automatic reminders, door codes let a studio run without staff on site: the client books, pays, gets the code and lets themselves in, and the code stops working when the booking ends. Door codes are an add-on that works on any plan.
Questions
What do I need for door codes?
A UniFi Access system with a console Ruumio can reach over https, and an API token created in UniFi Access. Other door systems aren't supported.
When does the code start and stop working?
From the start of the booking to its end. You set how many minutes before and after the code is also valid.
What happens to the code when a booking is cancelled?
It is revoked in UniFi Access and no longer opens the door.
Can I change a client's code?
Yes. Create a new code for the booking in the admin; the old one stops working.
What if the console is offline when someone books?
Ruumio retries the code automatically and shows its status in the admin. You can also retry it by hand once the console is back.
