Memberships and packs
Member plans, hour packs and gift cards
Ruumio lets you sell regulars a monthly plan with hours included in the rooms you choose, prepaid hour packs and gift cards, all paid through your own Stripe account. When a member books, their hours are used automatically and only the rest is charged.
Monthly plans with hours per room
A plan has a price and a number of hours for each room it covers, for example eight hours a month in the rehearsal room. Plans are monthly by default; you can also bill them every few months. Members subscribe on your site, and Stripe bills them on your account at the start of each period.
Hours are counted per period: each period has its own hours, and unused hours don't move to the next one. You can make a room bookable only by members with a plan that includes it, and you can assign a plan to a member by hand when you bill them outside Ruumio.
- Hours per room for each period
- Billed by Stripe on your account
- Rooms for plan members only
- Plans assigned by hand for members you invoice yourself
Members manage their own plan
In their account a member sees their plan, how many hours are used and left in the period, and when it renews. They can end the plan at the end of the period, change their mind before then, and update their card or download invoices through Stripe. If a payment fails, they are asked to update the card.
Hour packs
An hour pack is a number of hours bought in advance, usually at a better price, valid for the number of days you set and usable in the rooms you choose. Members buy packs in their account and pay by card.
When a member books, the plan's hours are used first, then pack hours, and only the rest is paid by card. A booking takes its hours from one pack: the one that expires first and still covers it, otherwise the one with the most hours left.
Gift cards
Visitors buy gift cards on your site, choosing the amount and adding a message if they like. The code is e-mailed to the recipient, or to the buyer when no recipient is given. It pays for all or part of a booking, and any balance stays on the card until the date shown in the e-mail. The money reaches your Stripe account when the card is bought.
Discount codes
Codes take a percentage or a fixed amount off bookings, hour packs or member plans, for members and guests. Give a code validity dates and a limit on how many times it can be used. A code for a plan is entered on Stripe's payment page when the member subscribes.
Cancellations give hours back by your policy
Each room's cancellation policy covers hours as well as money: a booking cancelled before the room's deadline gets everything back, a later cancellation the share you set. That share of plan hours, pack hours and gift card amount is returned along with the card money.
When you cancel a booking yourself, you choose a full return, the policy's share or none. Every payment for a plan, a pack or a gift card gets an invoice, and every refund a credit note.
Questions
Do unused plan hours roll over to the next month?
No. Each period has its own hours for the bookings in it. If you want hours that last longer, sell an hour pack with the validity you choose.
Can a member have a plan and an hour pack at the same time?
Yes. Plan hours are used first, then pack hours, and anything left is paid by card.
Can I give a member a plan without them paying online?
Yes. Assign the plan on the member's page; it stays active until you end it, and you invoice the member yourself.
What happens to plan hours when a member cancels late?
They get back the same share of hours as of money under the room's policy. With a full refund policy, all hours come back.
Where does the money for plans, packs and gift cards go?
To your studio's own Stripe account, like booking payments.
