For rehearsal rooms

Booking software for rehearsal rooms

Ruumio lets bands book rehearsal time online, keep their weekly slot and get into the building with a door code that only works during their booking. You set the hours, the evening prices and the cancellation rules, and nobody has to be there to hand over a key.

The same evening every week

Most bands rehearse on a fixed evening. A recurring booking reserves that slot every week or every second week in one go. Dates that are already taken are skipped and shown, and the band gets one e-mail with all the dates and a single calendar file.

In rooms that are free for them, bands book the series themselves. In paid rooms you book it for them from the calendar, and their monthly plan hours are used first. Either side can cancel the rest of the series in one step when the band stops.

Evenings cost more, afternoons less

Rehearsal rooms fill up after work and stand empty at noon. Set the room's normal hourly price, then a different rate for chosen weekdays and hours, such as weekday evenings or weekends. A longer block, such as a full day before a tour, can have its own price, and a booking always pays the cheaper option.

Bands see the price before they book and pay by card when they book, through your own Stripe account. The time is held while they pay and confirmed when the payment arrives.

No key handover: a door code per booking

With the door codes add-on and UniFi Access, every booking gets its own PIN for the doors of its room. The code works from a set time before the booking until a set time after it, so the band can carry their gear in and out, and it stops working after that. A cancelled booking loses its code.

The code is e-mailed to the booker and repeated in the reminder before the rehearsal. From the admin you see every upcoming code, create a new one if needed and unlock a door remotely when someone is standing outside.

Changeover time between bands

A buffer keeps a few minutes free before and after every booking, so one band can pack up before the next one plugs in. The buffer isn't charged, and it is left out of the free times bands see. When you book yourself, you can still put bookings back to back.

Monthly plans for regular bands

Sell a monthly plan: a fixed price and a number of hours in each room. Bookings use the plan's hours first, and the band pays for anything beyond them at the room's price. They subscribe and pay by card, or you assign the plan by hand and invoice them yourself. A room can be kept for plan members only.

Bands that rehearse less often can buy an hour pack instead: prepaid hours with a validity period, used automatically when they book.

Cancellation rules that are the same for everyone

Each room has a deadline for cancelling online, a number of hours before the start that still gives a full refund, and the share refunded after that. The same share of plan or pack hours goes back. When you cancel a booking yourself, you choose a full refund, the policy's share or none.

Several rooms, several buildings

Each room has its own opening hours, prices, buffer and closures. Rooms can belong to locations: the booking page groups them by building, and confirmations, calendar invites and feeds carry the right address.

Every band can have its own page in your projects showcase, and its members can book on the band's behalf, so the bookings stay together even when a different member books each week.

Questions

Do I need a particular door system?

Door codes work with UniFi Access, as an add-on. Without it, bookings, payments and plans work the same; you just hand out access yourself.

Can a band keep its slot for the whole season?

Yes. A recurring booking repeats every week or every second week, up to 52 times. Members book as far ahead as the room's booking horizon allows; you can book further. Dates that are already taken are skipped and listed.

Can I see who is in the room right now?

Yes. The calendar shows every booking with the booker's details, and the door codes page lists the codes that are active now.

What if a band wants to rehearse outside opening hours?

Members book within the opening hours you set. As an admin you can book any time that hasn't started, including outside opening hours.
